Getting started
How do I create an account?
Sign up with your email address and a password, with an emailed sign-in link, or with Google. You do not need to confirm your email address before you start.
Is there a free plan?
Yes. A new account gets 5 documents free, one time. The allowance does not reset, and you do not need a card.
I did not get my sign-in or password reset email.
Look in your spam folder first. We send one email to an address per minute, so wait a minute before you ask again.
Sign-in and reset links work once and expire soon after we send them. Use the newest email.
Requests
How do I send a request?
Choose New Approval Request and complete three steps: add your documents, add your reviewers, then choose the settings. Nothing goes to a reviewer until you send it, and until then the request is a draft.
What files can I upload?
PDF, PNG and JPEG files. On the free plan, a file can be up to 10 MB and a request can have up to 5 documents. On Solo, the limits are 25 MB and 10 documents.
To send a Word document, export it to PDF first.
What do the request statuses mean?
Draft: you did not send the request yet.
Pending: you sent the request, and no reviewer opened it yet.
In review: at least one reviewer opened the request.
Ready to close: no reviewer can act any more, and the request waits for you to close it.
Approved or rejected: the request is closed. One rejection makes the result rejected.
Cancelled: you cancelled the request.
Can I change a request after I send it?
No. You can edit a draft, but a sent request does not change. You can still extend the deadline, send a reminder to a reviewer, or cancel the request.
You cannot undo a cancellation. It stops every review link, and it keeps the decisions that reviewers already made.
Can I delete or archive a request?
You can delete a draft. A sent request is never deleted.
You can archive an approved, rejected or cancelled request to hide it from your lists. You can unarchive it at any time.
How does reviewer order work?
All at once sends the link to every reviewer together. In sequence sends the link to one reviewer at a time. The next reviewer gets the link only after an approval, and a rejection stops the request.
A request can have as many reviewers as you need.
When do review links expire?
You choose 7, 14 or 30 days for each request. The default is 14 days, and you can change the default in Settings, Preferences.
In a sequence, the time for each reviewer starts when that reviewer gets the link, not when you send the request.
How do I remind a reviewer?
Open the request and send a reminder to the reviewer. The reminder sends the same link again.
Which emails do I get?
You get an email when a reviewer makes a decision, or one summary when the last approval completes the request. You can turn these emails off in Settings, Notifications.
How long do you keep my documents?
Until you choose otherwise. In Settings, Preferences, you can delete documents when a request closes, or a number of days after upload. You can also set this for one request.
A daily clean-up applies these rules. The approval record is always kept.
For reviewers
Do I need an account to review a request?
No. The request comes by email from ApprovalScribe, and its link opens the review page. If you reply to that email, your reply goes to the person who sent the request.
How do I approve or reject?
Open the documents, then choose approve or reject. A comment is optional. One decision covers every document in the request.
Can I change my decision?
No. A link records one decision. If you open the link again, it shows your decision, its date and your comment. We also email you a record of your decision.
To change a decision, contact the person who sent the request.
My link says that it expired, or that the request is closed.
An expired link cannot record a decision, and it cannot be renewed. Contact the person who sent the request.
A closed request is finished or cancelled, and it cannot take more decisions.
Does the sender see when I open the link?
Yes. ApprovalScribe records when the link opens and shows that time to the sender. It records no IP address, device or location.
Plans and billing
How much does ApprovalScribe cost?
Free gives you 5 documents, one time. Solo includes 50 documents each month, and you pay for a term in advance: $19 for 1 month, $95 for 6 months or $180 for 12 months. A term does not renew.
Prices are in Australian dollars. We are not registered for GST, so we charge no GST.
What are document packs?
A pack adds documents to your plan: 50 for $10, 200 for $30 or 500 for $60. Pack documents never expire, and we use them only after your plan allowance runs out.
When does a document count?
When you send the request, not when you upload the document. A cancelled request does not give its documents back. If you do not have enough documents, you cannot send the request until you buy more.
How do I pay, and can I get a refund?
You pay once by card, on a Stripe checkout page. Purchases are not refundable. This does not limit your rights under the Australian Consumer Law. The terms of service give the details.
Your account
How do I change my name or password?
Change your name, job title and phone number on your profile. To change your password, choose change password in Settings, Account, and we email you a reset link.
How do I change my email address?
You cannot change it yourself yet. Email support from your current address, and we change it for you.
How do I change my time zone or date format?
In Settings, Preferences.
Is there an API?
Yes, on the Solo plan. Create API keys and webhooks in Settings, Developers.
How do I delete my account?
You cannot delete an account in the app yet. Email support@approvalscribe.com from your account address, and we remove the workspace and its documents for you.
